General FAQ
Can I use Wovenkeep entirely without AI? Yes. Prep, the live session, push, dice, the SRD, handouts, and invitations work without AI. The AI help is optional, marked, and costs Threads β and if you don't want to see it at all, tick Hide AI features in Admin β βοΈ Tantu Settings. See Hide AI features.
Can I use Wovenkeep without paying? Yes. The free Adventurer plan can do everything the paid plans can β every feature works on it: sessions, encounters, dice, the full SRD, QR-join, push, Whisper, Handouts, Story Web, all of it (one campaign, up to 6 players on free). If you want the optional AI help, you pay per use with Threads. Bring your own AI key and AI text actions cost 0 Threads. See Pricing.
Do players need to install an app? No. Players scan a QR code (or enter the 8-character code) and the game runs in their phone's browser. iOS, Android, tablet β anything with a camera and a modern browser.
What RPG systems does Wovenkeep support? The rules layer (SRD Rulebook, encounter builder, character sheets) is built for D&D 5e β 3,761 openly licensed entries (SRD 5.2 and 5.1 plus open content from other publishers) covering monsters, spells, items, classes, and races. The session tools (scene push, sound, whisper, initiative, handouts) are system-agnostic β many GMs use Wovenkeep's live features with Pathfinder, OSR, or homebrew systems while ignoring the 5e-specific rules. Other-system SRDs are on the roadmap.
Is Wovenkeep for in-person or online play? Both. It's designed around in-person play (your screen on the table, players' phones as a second screen) and works just as well for online or mixed groups β players can join from anywhere, and the Discord connection brings in remote players.
How do players join a session?
Scan the QR code shown when you click βΆ Start Session, or type the 8-character code at yourname.wovenkeep.com/player/. No account, no login. See Running a live session.
Can players see my GM Secrets? Never. GM Secrets (Story & World), NPC secrets, scene GM-notes, and GM PC-notes are filtered out before anything is sent to a player. The data never reaches their phone.
Do my campaigns sync across devices? Yes. Your work lives in your Realm, not on a single device. Sign in from any device and you see the same campaigns. Don't edit the same thing on two devices at once β the last save wins. Scenes are the exception: Wovenkeep asks before overwriting a change from another window (see Autosave β editing on two devices).
Can two GMs share a campaign? Not yet. One GM per Realm today. Co-GM support is on the roadmap.
What happens to my data if I stop paying? Nothing is deleted. Your Realm drops to the free Adventurer plan; data stays intact; your monthly Threads stop, but everything keeps working β every feature stays available, and any Threads left in your balance stay yours (they never expire). Full deletion only happens if you explicitly delete your account.
My Realm takes a long time to load / shows a loading screen Free (Adventurer) Realms that haven't been used for 14 days enter a low-power idle state. The next login triggers a cold start that takes a few extra seconds β you'll see a loading screen while it wakes up. This is normal. Your data is fine. Once it's awake it runs normally until the next period of inactivity.
Is my data backed up? Yes β every 6 hours, 30-day retention. Restore is currently a support request (no self-service restore UI yet). You can also export your own data anytime.
Will my Realm be updated in the middle of a game night? No. Wovenkeep installs new versions only when nobody is playing: not while a player phone is connected to a live session, not within 15 minutes of the last use, and not during the game nights you've entered. A bar in your GM view tells you when an update is waiting β you can install it right away or postpone it. Security updates can be postponed by one day at most; after that, only a live session with connected players holds them back. See Updates and game nights.
Can I get a deleted campaign back? Yes, for 30 days: a deleted campaign waits in the ποΈ Trash under Deleted campaigns β click β©οΈ Restore (see The trash). Restoring needs a free campaign slot in your plan. After 30 days, or after β Delete permanently, the campaign is gone: then only a file you saved before (πΎ Save as file first in the delete window) or a data export (β Settings β Download My Data, see GDPR & Data Export) still has its content. Beyond that, only a restore from our backups can help β that's a support request.
How do I rename a player β and can players rename their character? You change the player's name in π Prep β Players β βοΈ β Player name; their items and handouts move with it (Renaming a player). Players change their character's name themselves with βοΈ in their character sheet (Changing your character's name).
A player changes the language on our shared tablet β does that change my GM tool? No. The player view keeps its own language; the GM tool and the TV keep theirs (see Languages).
Can I self-host Wovenkeep? Not available yet. It's something we'd like to make possible β letting you take your whole Realm with you β but it's still on the roadmap.
Troubleshooting
Sound isn't playing on a player's phone
Cause: Mobile browsers block audio until the user interacts with the page. Fix: The player must tap their screen once (the audio-gate splash). Use π‘ Push-check to see which devices show π muted, then have those players tap. See Sound & ambient β audio gate. Or: πΊ Sound via: is set to TV β then sounds for the whole table play on the TV, not on the phones. See Sound on the TV.
A player can't connect
Checklist:
- Is the QR code current? (A new session = a new code; an old QR won't work.)
- Does the player have internet? (Mobile data or WiFi.)
- Try manual entry:
yourname.wovenkeep.com/player/, type the 8-character code (letters and digits, no 0/O or 1/I). - Corporate/guest WiFi sometimes blocks the live connection Wovenkeep uses β switch the player to mobile data.
- Use π‘ Push-check to see exactly which devices respond.
One phone is stuck on an old scene
Cause: That phone briefly lost its connection. Fix: Have the player rescan the QR code β or reload the page and tap Continue βοΈ on the card Session in progress β continue in {code}. Their position and items are kept; they'll catch up to the current scene. Earlier pushes aren't replayed β re-push the current scene if needed.
A phone says "The session has ended."
Cause: You ended the live session β or the player opened an old link. Fix: Start a new session and share the new code or QR; Back to start on the phone opens the join screen. The player's character and documents stay saved.
"Offline β saved state" appears in the GM tool
Cause: The connection to your Realm dropped; the GM tool shows the state it loaded last. Fix: Check your connection, then reload the page. Changes you make while offline aren't saved.
"Insufficient Threads" when using AI
Cause: Your Thread balance is below the action's cost.
Fix: Open your account at app.wovenkeep.com and click Top up Threads on the dashboard (during the beta, Threads can't be bought yet β earn them or use your own AI key). Your new balance shows up in the GM tool within seconds β then try the action again. See Threads & costs.
A feature shows π (locked)
Cause: This shouldn't happen anymore β every feature works on every plan, including free. A lock icon is stale UI from an older version still cached in your browser.
Fix: Hard-refresh (Ctrl + Shift + R) or log out and back in. AI help actions show a Thread cost badge (e.g. "5 π§΅") instead of a lock, and a confirm dialog with cost and balance appears before anything is spent. See Threads & costs or Pricing.
Login problems
- Forgot GM password: on your account dashboard at
app.wovenkeep.com, click Forgot GM Password? on your Realm's card (Instance) β a new one arrives by email. Or click Open GM Tool at the top of the dashboard to get into the GM tool without the password. The GM tool itself has no password setting. - Lost a device, or someone may know your GM password: change the GM password on your account dashboard β a new GM password signs out every device that was signed in to the GM tool. Without a new password: GM tool β β Settings β Sign-in β Sign out all devices.
- Suddenly signed out of the GM tool everywhere: the GM password was changed or reset, Sign out all devices was used, or you signed out on
app.wovenkeep.comor changed your password there. Sign in with the current GM password, or click Open GM Tool on the dashboard. - Lost access to your authenticator app (MFA): use a Recovery Code (generated when you enrolled MFA) β enter it at the MFA prompt instead of the one-time code. If you no longer have Recovery Codes, contact support via the contact form at
app.wovenkeep.com/kontakt. - MFA code not accepted: check that your device's clock is correct β TOTP codes are time-sensitive.
- SSO not working: use the direct GM-password path at
yourname.wovenkeep.com/gm(works even if the platform is down). - Stuck logged out: clear your browser's cache and site data, reload, and sign in again.
AI help responds slowly
Cause: Server load, or large input context (a very large campaign). Mitigation: Suggestions normally take 5β15 seconds; under heavy load a bit longer. Keeping your campaign text focused helps β Tantu reads only so much context anyway (see Story & World best practices).
Scene image won't load on phones (text shows)
Cause: The image is linked from somewhere that phones won't load (an insecure or broken link). Fix: Upload the image on the Media page (or right in the scene) and use it from there β those always load. See Scene push β troubleshooting.
Storage full / upload rejected (413)
Cause: You've hit your plan's storage quota. Fix:
- Free up space: πΎ Storage opens the Media page on π¦ Everything by size β choose All campaigns, click Unused only and delete large unused files (videos, uncompressed PNGs, old regenerated portraits). Deleted files go to the trash and stop counting right away; π§Ή Clean up below the list removes broken entries. See Storage & files.
- Add storage without upgrading: spend 50 Threads to permanently add +500 MB to your Realm β the button appears below the storage bar on the Media page (also opened by πΎ Storage). You can add up to +5 GB this way.
- Upgrade your plan for a larger base quota (Game Master 1 GB, Storyteller 5 GB, Guild Master 20 GB).
Cloudflare / "Sorry, you have been blocked" errors
Cause: Not a Wovenkeep problem β this is a security checkpoint between you and the internet occasionally getting in the way. Fix: Try again; if it keeps happening, try a different network (e.g. switch off VPN, or use mobile data). Your Realm and your account are fine.
Voice transcription mangles names
Cause: Speech-to-text mis-transcribes invented proper nouns ("Vaerin" β "Verin"). Fix: Expected behaviour β fix the few names after dictation. It's still faster than typing the whole passage. See Voice Input β accuracy.
Reporting bugs
The π bug-report button is bottom-right in the GM tool (or Ctrl+Shift+B).
A good report includes:
- What you did β the steps
- What you expected
- What actually happened
- A screenshot (the widget can attach one)
The report reaches the team with your Realm name and account ID attached automatically. Useful bug reports may earn bonus Threads β clear repro steps are appreciated and rewarded.
For account/billing problems specifically, use the contact form at app.wovenkeep.com/kontakt (link Contact at the bottom of the page) or email info@wovenkeep.com.
